Who we are

Fab Studio is a trading name of FAB DEZINE ATELIER PRIVATE LIMITED (CIN U93000DL2019PTC351328), an interior design and fit-out studio operating in India. In this policy “we” and “us” mean that company, which is the data fiduciary for the personal data described below. This policy covers the WhatsApp-based project coordination service we run and the Meta app “Fab_Studio” that powers it.

What this service does

We use WhatsApp to coordinate projects with our clients, site teams and vendors. To make sure requests, questions and approvals are not missed, our coordination system reads the WhatsApp conversations we are part of, identifies items that need a response, tracks whether they were answered in time, and prepares internal summaries for our team.

This system only processes conversations that Fab Studio is a participant in, and only after the conversation has been recorded in our consent register. New groups are excluded until an operator confirms consent.

We connect to WhatsApp in two ways. Messages sent from our business number go through Meta’s official WhatsApp Business Platform. To follow existing project group chats, the system connects through a Fab Studio staff member’s WhatsApp account, linked as a device using WhatsApp’s own “linked devices” feature; that account is a work account used for project coordination. In both cases the system reads only conversations Fab Studio is already part of, and acts only on those recorded in our consent register.

What we collect

From WhatsApp conversations that Fab Studio is part of:

• Messages, including text, captions on photos and documents, and voice notes (voice notes are transcribed to text)
• The phone number and WhatsApp display name of each participant
• Group membership and group names
• Message timestamps and delivery status

We do not collect data from any conversation Fab Studio is not a participant in, and we do not access your contacts, location history or other data on your device.

About our own staff, we additionally hold a work directory: name, work email address, designation, team and who each person reports to. This comes from Fab Studio’s own records rather than from WhatsApp, and is used to decide who is accountable for answering a client and to create their account in our task system. It is not taken from, or shared with, anyone outside the parties listed below.

How we use it

• To identify client requests, questions, approvals and blockers, and assign them to the right person on our team
• To measure how quickly we respond and escalate items that are overdue
• To produce internal daily summaries for Fab Studio’s project leads and leadership
• To send you WhatsApp messages about your project, using Meta’s approved message templates
• To keep an auditable record of what was asked and what was done, for the duration of the project

We do not sell your data, use it for advertising, or share it with anyone outside the parties listed below.

Who processes it on our behalf

Data is stored on infrastructure operated for Fab Studio by its technology partner, SMB Catalyst. Each provider receives only what is needed for its purpose.

How long we keep it

Messages, resolved items, evidence references and conversation summaries are deleted automatically after 24 months. Older meeting transcripts are redacted on the same schedule. Open items keep their supporting evidence until they are closed. Where a legal obligation requires us to retain records for a specific project, that project is placed on hold and excluded from automatic deletion for as long as the obligation lasts.

Your rights

You can, at any time:

• Stop the system from processing a conversation — send STOP FAB AI in the WhatsApp conversation. Processing of that conversation stops immediately and the withdrawal is recorded.
• Ask what we hold about you — email us and tell us which WhatsApp number the request is about. We verify that the request comes from, or can be checked against, that number before we answer.
• Ask us to correct your name, role or company as recorded in our directory.
• Ask us to delete your data — see our Data Deletion page. Your messages are redacted and your identity is anonymised; open project items are kept without your identity attached so the project can continue.
• Nominate someone to exercise these rights for you if you die or are unable to act — tell us in writing at the contact details below.

We respond to requests within 30 days.

We acknowledge grievances when we receive them and resolve them within 90 days. If you are not satisfied with how we have handled one, you may complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023. The Board asks that you raise the matter with us first and give us a chance to resolve it.

Children

This service is for coordinating building and interior projects with our clients, contractors and vendors. It is not directed at children, and we do not knowingly collect the personal data of anyone under 18. If you believe a child’s data has reached us through a project conversation, tell us and we will remove it.

Security

Access to the coordination system is limited to authorised Fab Studio staff and to our technology partner, SMB Catalyst, which operates the infrastructure. The operations dashboard is not published on the public internet; only the WhatsApp webhook endpoints are reachable from outside, and each accepts only cryptographically signed traffic, which is verified before any message is accepted. Access to provider credentials is restricted to authorised staff and they are never displayed in the interface. Every deletion, erasure and consent change is recorded in an audit log.

We will update this page when our practices change. The date at the top reflects the latest version.

This notice is published in English. If you would prefer it in Hindi or any other language listed in the Eighth Schedule to the Constitution of India, email us and we will provide it.
